how to write a letter in english exam or how to write a letter to friend Knowing how to write a letter is a fundamental skill you'll use in business, school, and personal relationships to communicate information, goodwill, or just affection. Here's a basic guide on how to put your thoughts to paper in the correct format. Know when to write a formal letter. Write a formal letter when addressing someone you only know in a professional capacity. This includes letters written to government departments or businesses, instead of a known individual. These letters should be typed, then printed. You can use any text editing software to do this, such as Microsoft Word, OpenOffice, or Text Edit. If the letter is urgent or the recipient prefers email, you can send an email instead. When addressing your current boss or coworker, you can be slightly less formal. Email is usually fine, and you don't need an address at the top of the page. 2 Write your address and today's date at the top of the page. Write your name and address at the top of the page, on the left. If you are writing a business letter, use the company name and address instead, or just write on company letterhead. Either way, skip two lines and write today's date. Write out the full date. 19 September 2014 (British) or September 19, 2014 (American) are both preferable to Sept. 19, 2014 or 19/9/14. Skip the date when writing an email. 3 Write the name and address of the recipient. Unless you're writing an email, skip another two lines and write the contact information for the person you're writing to. Write each of these on a separate line: Full title and name Company or organization name (if applicable) Full address (use two or more lines, as needed) 4 Write the salutation. Skip a line again, then greet the recipient with "Dear" followed by their name. You may use the last name, or the full name (first and last), but never the first name alone. Include an abbreviated professional title if applicable. If you know the job title but not the person's name, you may write "Dear Health Inspector:" or a similar phrase. It's usually possible to find the name with an online search, so try that first. If you don't have a specific contact, write "Dear Sir or Madam:" or "To Whom It May concern:". These sound a little stiff and old fashioned, so try to avoid it when possible. 5 Write the letter. Formal letters should open with a clear statement of purpose. Do not use contractions (write are not instead of aren't), and phrases questions formally (Would you be interested in...? instead of Do you want to...?). Proofread the letter for spelling and grammar when finished, or ask a friend to help you. If you are writing on official business, keep it short and direct. If you are writing a distant relative or an acquaintance for social reasons, you can be a little more conversational. It's still best to keep it to under a page. 6 Use a complimentary close. A complimentary close ends your letter on a good note and establishes a connection with the recipient. Make two hard returns after the last paragraph of the letter, then write the complimentary close. For formal letters, stick to "Sincerely yours," "Kindest regards," or "Best wishes." Sign underneath the close, as follows: For typed formal letters, leave about four spaces between the complimentary close and your typed full name. Print the letter, then sign your name in blue or black ink in that blank space. In a formal email, type your full name after the complimentary close. You may use a courtesy title for yourself when you put your name at the end of a formal letter. For instance, a married woman could sign as "Mrs. Amjad Shahzad."

A salutation is a greeting used in a letter or other written or non-written communication. Salutations can be formal or informal. The most common form of salutation in a letter is Dear followed by the recipient's given name or title. For each style of salutation there is an accompanying style of complementary close, known as valediction. Examples of non-written salutations are bowing (common in Japan) or even addressing somebody by their name. A salutation can be interpreted as a form of a signal in which the receiver of the salutation is being acknowledged, respected or thanked. Another simple but very common example of a salutation is a military salute. By saluting another rank, that person is signalling or showing his or her acknowledgment of the importance or significance of that person and his or her rank. Before the advent of modern technology made communication so easy, the art of writing a letter was considered an important requirement. Even today a letter is an important means of communication in both the workspace as well as our personal lives. So let us educate ourselves with the nuances of letter writing. A letter is one person's written message to another pertaining to some matter of common concern. Letters have several different types: Formal letters and informal letters. Letters contribute to the protection and conservation of literacy. Letters have been sent since antiquity and are mentioned in the Iliad.Both Herodotus and Thucydides mention letters in their histories Letter writing can be fun, help children learn to compose written text, and provide handwriting practice — and letters are valuable keepsakes. Typically, a printed letter is reserved for the most important of job-related or other professional communications: recommendation letters, cover letters, resignation letters, legal correspondence, company communications A business letter is usually a letter from one company to another, or between such organizations and their customers, clients and other external parties. The overall style of letter depends on the relationship between the parties concerned. Business letters can have many types of contents, for example to request direct information or action from another party, to order supplies from a supplier, to point out a mistake by the letter's recipient, to reply directly to a request, to apologize for a wrong, or to convey goodwill. A business letter is sometimes useful because it produces a permanent written record, and may be taken more seriously by the recipient than other forms of communication. A business letter is more formal than a personal letter. It should have a margin of at least one inch on all four edges. It is always written on 8½"x11" (or metric equivalent) unlined stationery. There are six parts to a business letter. A business letter is a formal letter with six parts: The Heading The heading contains the return address with the date on the last line. Sometimes it is necessary to include a line before the date with a phone number, fax number, or e-mail address. Often there is a line skipped between the address and the date. It is not necessary to type a return address if you are using stationery with the return address already imprinted, but you should always use a date. Make sure the heading is on the left margin. Recipient’s Address This is the address you are sending your letter to. Be sure to make it as complete as possible so it gets to its destination. Always include title names (such as Dr.) if you know them. This is, like the other address, on the left margin. If a standard 8 ½” x 11” paper is folded in thirds to fit in a standard 9” business envelope, the inside address should appear through the window in the envelope (if there is one). Be sure to skip a line after the heading and before the recipient’s address, then skip another line after the inside address before the greeting. For an example, see the end of this sheet for a sample letter. The Salutation The salutation (or greeting) in a business letter is always formal. It often begins with “Dear {Person’s name}.” Once again, be sure to include the person’s title if you know it (such as Ms., Mrs., Mr., or Dr). If you’re unsure about the person’s title then just use their first name. For example, you would use only the person’s first name if the person you are writing to is “Jordan” and you’re not sure if he or she is male or female. The Body The body is the meat of your letter. For block and modified block letter formats, single space and left justify each paragraph. Be sure to leave a blank line between each paragraph, however, no matter the format. Be sure to also skip a line between the salutation and the body, as well as the body and the close. The Complimentary Close The complimentary close is a short and polite remark that ends your letter. The close begins at the same justification as your date and one line after the last body paragraph. Capitalize the first word of your closing (Thank you) and leave four lines for a signature between the close and the sender’s name. A comma should follow the closing. Enclosures If you have any enclosed documents, such as a resume, you can indicate this by typing “Enclosures” one line below the listing. As you are aware that email-writing has been integral to our lives-be it professional or personal and we all need to know the science and art of writing them. A 2013 survey reveals that badly drafted emails cause tension, annoyance, confusion, embarrassment, ridicule or other negative consequences for 64% of working professionals. How to write appropriate mails is explained in this session and following points were discussed in detailed • The question 'how to write an email' must precede the three questions- who are we writing to, why and what do we need to write? Answers to these questions will decide the How-ie the form (whether formal or informal) and format, the tone and tenor, the language and style, the length, etc of the mail. • Proper use of subject-line saves time for both- the writer/the receivers and evokes interest to read. • All formal mails generally have three parts- Salutation, body and complimentary close. The body too has three parts- Introduction of the self/topic etc in one very short para, the heart where we discuss the subject in one or more paragraphs, depending on the topic and the concluding para. I consider all college mails sent to all as formal ones. • Brevity v/s Clarity- All mails, undoubtedly, need to be brief, concise and clear. All that we wish to convey to our reader/s should be said precisely, unambiguously. Though there can never be specific limits, normally an email should not exceed one screen. (exceptions always there- even I have violated the norm many a time.) An email should be short enough to be interesting and long enough to cover all the points like a...' the analogy as appeared in a DU textbook has been recently withdrawn after an outrage. • Formal language v/s email lingo- All academic or professional/business mails are formal and should be written in correct formal language- no slangs, no contractions, no emoticons/emojis, no shorthand spellings- r, u, r8, etc, no all capital letters, no all italics or bold fonts, colors, underlines etc. Only well-known abbreviations/acronyms can be used. Language should be as simple and accurate as possible. KISS-Keep it short and simple is the key. Dependence on spell check or Grammarly software helps very little. Contrary to this, while writing informal mails to friends/ relatives/ close acquaintances, one can use email lingo- contracted forms( isn't, won't etc), emojis, slangs, jokes and all that one wants to. In short, we can be little casual or careless while drafting informal mails but need to be extremely careful and attentive in case of formal letters. A quick but careful revision of the draft before pressing the 'Send'button helps greatly. • Proper format- standard legible font size (12 points), appropriate paragraphing, spacing, indentation while mentioning points/sub-points/sub sub-points, etc, proper punctuations and capital letters, bolder font wherever need to highlight certain words/statements will all improve the look of our mails. • Mass-mailing is a much-discussed issue here and so would just say that while replying to a mail, let us ask if we really need to send it to all, if our reply concerns all. • The Tone- Humble or haughty will make or mar the impression- Vidya dadati vinayam, vinayam dadati patratam (education gives us courtesy and courtesy ability). It is unthinkable for those in education to be rude or offensive, to hurt or belittle others. So even if one disagrees with someone, we may say so in a humble tone and language. Being aggressive or imprudent serves no purpose; it, in fact, hurts both- the giver and the recipient. The best way to manage our anger or disapproval is to delay the reply at least by a few minutes. An impulsive action may land us in trouble, besides losing the goodwill of many.

If an employer requires a cover letter, it will be listed in the job posting. Different Types of Cover Letters There are three general types of cover letters. Choose a type of letter that matches your reason for writing. The application letter which responds to a known job opening (cover letter samples) The prospecting letter which inquires about possible positions (inquiry letter samples) The networking letter which requests information and assistance in your job search (networking letter examples) Each cover letter you write should be customized to include: Which job you're applying for How you learned about the job (and a referral if you have one) Why you are qualified for the job (be specific) What you have to offer the employer (match your skills to the job description) Thank you for being considered for the job Cover Letter Writing Guidelines Here's an outline of the items that should be included in every cover letter. Header A cover letter should begin with both you and the employer's contact information (name, address, phone number, email) followed by the date. If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature. Salutation Begin your cover letter salutation with "Dr./Mr./Ms. Last Name." If you are unsure if your contact is male or female, you can write out their full name. If you do not know the employer's last name, simply write, "Dear Hiring Manager." Introduction Begin your introduction by stating what job you are applying for. Explain where you heard about the job, particularly if you heard about it from a contact associated with the company. Briefly mention how your skills and experience match the company and/or position; this will give the employer a preview of the rest of your letter. Your goal in the introduction is to get the reader's attention. See examples of engaging opening sentences for cover letters. Body In a paragraph or two, explain why you are interested in the job and why you make an excellent candidate for the position. Mention specific qualifications listed in the job posting, and explain how you meet those qualifications. Do not simply restate your resume, but provide specific examples that demonstrate your abilities. Closing In the closing section of your cover letter, restate how your skills make you a strong fit for the company and/or position. State that you would like the opportunity to interview or discuss employment opportunities. Explain what you will do to follow up, and when you will do it. Thank the employer for his/her consideration. Signature Use a complimentary close, and then end your cover letter with your signature, handwritten, followed by your typed name. Everyone knows debt collections are bad for your credit score. Any past due accounts including debt collections have negative effects. These accounts report on your credit report for up to7 years. As accounts age, they have less and less impact on your credit score. Many consumers believe by paying off collections or charge-off accounts, that it will raise their credit scores. It certainly seems logical; however it is far from the truth. If you are concerned about your credit score, paying off debts prior to obtaining any other type of loan or mortgage can greatly hurt your credit score. Ultimately, if it is an older account when paid off (or payments are made on the account), by doing so can be devastating to ones credit score. The recent activity of any derogatory item has a big impact on how it effects your overall credit score. Is the Debt Still Valid? After a certain period of inactivity on an account, a debt becomes time-barred and debt collectors can no longer sue you for it. This period is known as "the statute of limitations on debt" and varies by state. If the statute of limitations has passed, it is illegal for a debt collector or creditor to sue you. You need to be careful in communicating with a debt collector because the debt statute of limitations can easily be restarted by acknowledging that you owe the debt, making a payment, entering a payment plan, making an agreement to pay or making a charge on the account. After 7 Years Collection and charge-off accounts should only remain on your credit report for 7 years. It is important to check your credit reports as the credit bureaus often continue reporting these derogatory accounts over the 7 year limit.
